What type of information we have
The information that BrightStar may collect and process in relation to actual or potential clients (hereafter referred to as ‘you’ and ‘your’ in relation to client data) includes:
· Name.
· Address, including postcode.
· Age.
· E-mail address(es).
· Telephone number(s).
· Details of previous relevant courses, training or qualifications.
· Next of kin details.
· Special category information, including disabilities, learning needs or medical conditions.
· Course and assessment results.

How we get the information and why we have it
We will collect information about you in the following ways:
· During interactions with our website at brightstartraining.co.uk.
· Through communications either through the website contact form, by e-mail, by telephone, or face-to-face.
· Using forms (both physical and electronic) exchanged before, during or after courses.
· From your employer where the course is organised by them.
. Through the operation of CCTV at the premises of BrightStar.
Under the General Data Protection Regulation (GDPR) our reasons and lawful bases for the collection and processing of this information include:
· The need to enter a contractual relationship with you as a client of BrightStar Training.
· With your consent, to understand how we might make reasonable adjustments to our services to support your health, disabilities or learning needs.
· In our mutual and legitimate interests, to manage course results, register your course outcomes, obtain relevant certification for you, maintain such records for your future reference, for at least as long as any qualification remains valid, and for both our and your safety and security.
Where you have provided BrightStar with consent to hold and process your personal data, you have the right at any time to obtain a copy of that personal data and to withdraw your consent for BrightStar to continue holding and processing that data. You may do this by contacting us using the addresses given above. However, should you choose to have such information deleted, you would then be unable to obtain confirmation of having attended any course or achieved a qualification.
What we do with the information we have
We use the information that you have given us in order to:
· Provide quotations or proposals for courses or activities to be provided by us.
· Manage the courses or activities that we provide for you by providing you with course information and registering you for any awards to which you may be entitled on successful completion of the course.
· Make any reasonable adjustments should you have a disability, learning need or medical condition that may affect your ability to undertake the course or the qualification’s assessment. The data collected for this purpose is called special category data. BrightStar will only collect and process this special category data when it is provided by you and for the purposes of recording and awarding reasonable adjustments for the activity, course or qualification you are undertaking at the time of providing the data.
· Record the outcome of any courses, including assessments and results.
· Retain information on course outcomes to allow you, or any regulatory body or other lawful agency, to confirm the outcome of that course.
. Retain CCTV imagery for the purposes of security as a deterrence to crime and, following any suspected or proven crime, for the purposes of investigation and prosecution by appropriate legal authorities.
We may share this information with those governing bodies, regulatory bodies, awarding organisations and centres who are responsible for the administration and award of qualifications that we deliver.
BrightStar will not sell, pass on or make available your personal or special category data to any other person or body outside of the administration and award of any qualification or course you have chosen to undertake.
How we store your information
Your information is securely stored on paper forms at BrightStar’s premises, on electronic information systems managed by BrightStar, or on the systems of those governing or regulatory bodies, or awarding organisations and centres, responsible for the processing and award of any qualification.
We keep student information for 4 years from the date on which a qualification is completed. We will then dispose your information by shredding and burning any paper records and by deleting any electronic records using industry standard tools for secure disposal of data.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal data in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
